Introduction

Company Directory is a web based application for business intranets that acts as a central location for viewing and editing company directory information such as phone numbers, network shares, employee information, and more.  Most companies have some form of a directory which can be as small as a piece of paper handed out to all employees.  Company Directory eliminates all paperwork and gives office managers a way to update directory information and have it displayed in real time to all those who access it.  Although there are services such as Microsoft's Active Directory which can store some of this information, most network admins don't want everyone to have the ability to access this information.  Company Directory acts as a simple source for all information that you want everyone to have access to without compromising your active directory security in any way.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

Management

Management of your company directory should be handled by only a few employees.  It's not recommended to let just anyone edit the directory.  The management screen is accessed from your browser just like the rest of the application, by clicking the "manage" link in the upper right of the main screen.  After installation, there is no password set for the management menu so anyone can access it.  One of the first things you should do is set the administrator password.  This is a password just for this application and is not related to any network password.  Once in the management section, click the "config" link on the management menu.  There you can set the administrators password.  Whenever you change a setting, you must click the save button to save your changes.

All of the management screens are pretty self-explanatory as user friendly but here is a rundown of each screen:

Config

Directory Title - This is what will appear at the top of your directory,  The default title is "Company Directory" but you may want to change it to reflect your company name.

Directory Title Color - The color of the Directory Title text.

Header Logo Image - This is the file name of the logo you'd like displayed in the upper left.  The program comes with the default rolodex picture but you can add your own image, like the logo of your company.  The image you choose shouldn't be too much more than 100 pixels high and the file needs to be placed in the "images" folder of the application on your web server.

Administrators Password - By default, this is left blank and anyone may access the management menu.  Setting a password will require the password to enter the management menu features.

Directories to Display - Check the directories you'd like to display.  By default, they're all checked, but some companies may only wish to certain ones.

Employees

This is where you edit the list of employees in the directory.

Departments

This is where you edit the list of departments in your directory.

Links

This is where you edit links in your directory.  Links can either be links to web sites, intranet sites, intranet applications (such as this one), or even network shares which are shared folders on servers on your network.

Vendors

This is where you edit the list of vendors in your directory.  Vendors consist of other businesses that your employees may frequently contact.  This can also include local restaurants, cab companies, or any business that your employees may need to lookup.  If you include a full address for a vendor, such as "123 any St., Anytown, MD 12345", then employees can click on the address in the directory and it will take them directly to Google® Maps with the address showing on a map.  It's a good idea to edit your Vendor Types first so that you'll have the type categories ready when adding your vendors list.

Vendor Types

Because the vendors list can get quite large due to its versatility, Vendor Types enables you to classify vendors into categories or types.  This screen is for managing the list of Vendor Types.

- added helpful error message (with instructions) for anytime the application has a problem writing to the database file. There is already a message for the first time installation which shows how set permissions to the data folder but sometimes a network admin will change permissions for the root web site that propagates down to other sites causing problems with permissions on other sites.

- Tightened management pages for better vertical fit on small screen resolutions.  Messages now appear to the left of the page title.

- Removed margins on all pages for more horizontal space.

- when deleting a Vendor Type, the program now validates to see if that Vendor Type is in use by any of the Vendor records. If it is, you won't be able to delete the record until no more Vendors are using that Vendor Type.

- changed code that limited unregistered trial to 10 records. The original code could bomb if manager was editing a directory list that had more than 10 records.

- When trial mode actually trims a directory listing to 10 records, a message will appear below the directory explaining how to register.

- About screen now shows a link to register the program.

- Removed pager number field and made Cell field into Cell/Pager this freed up horizontal space on grid and most people don't have both. If someone does, the field is long enough to enter both.

- removed home number field (privacy issue). It didn't show in the directory in version 1.0 for privacy reasons but we realized that the person in charge of maintaining the directory may not be in a position that they should have access to someone's home number.
